Make responsibilities visible
A manager’s water checklist should identify who observes, who authorizes and who fixes a problem. Keep the current provider contact and system record accessible to your team. Give guests clear property-specific drinking-water instructions.
At each handover
- Confirm which drinking-water supply is intended for guests.
- Check whether scheduled service is due according to equipment instructions.
- Record visible leaks or changed flow.
- Note unusual color, particles or odor without assigning a cause.
- Confirm access to the plant room for an authorized technician.
When a guest reports a problem
Record the outlet, time, description and whether other outlets are affected. Avoid promises about safety based on appearance. Escalate drinking-water uncertainty to the responsible professional and provide an appropriate alternative consistent with local guidance.
Keep a service log
| Record | Why retain it? |
|---|---|
| Equipment model and serial | Identify replacement parts |
| Service date and scope | Know what was actually done |
| Sample point and report | Understand the evidence |
| Next action and owner | Prevent an unresolved handover |
Prepare the technician
Share the observations and equipment details before the visit. Agree who can approve additional work and how the team will communicate interruptions. Request photographs and service documentation afterward.
Manage multiple properties
Use a separate record for each villa. A shared management company or neighborhood does not make water results interchangeable. Review recurring issues to decide where a more detailed assessment is justified.
Keep guest messaging simple
State where drinking water is provided and who to contact if something changes. Avoid unsupported certifications or safety claims in listing copy. Use the water check to prepare a consistent property brief, or explore filter maintenance.
